Problem statement

A large Facilities Management Service Provider managing a complex, nationally distributed property portfolio needed a more efficient way to maintain its quality, environmental, and occupational health & safety management systems. Maintaining separate systems created duplication, increased audit pressure on operations, and placed a growing administrative burden on the business.

Solution

The solution was to evolve these parallel systems into a practical Integrated Management System designed around operational reality. Rather than treating integration as a purely theoretical exercise, the approach focused on combining what made sense: governance documentation was consolidated where requirements overlapped, controls were embedded directly into business processes, and preventative and corrective actions were managed through a unified tracking mechanism. This created a simpler experience for process owners while still preserving the distinct requirements needed for statutory compliance and external certification.

A key part of the transformation was integrating management system requirements into day-to-day business processes.
